Privacy policy
This policy explains what personal information I collect through Wavelength Web Design & SEO, why, who helps me handle it, and your choices. The short version: I collect only what I need to reply to you, to offer my services to local businesses and to do the work you hire me for, and I never sell it.
I am Ryan Martin, the owner of Wavelength Web Design & SEO (registered in Nova Scotia as WAVELENGTH WEB DESIGN & SEO, a sole proprietorship), and its privacy contact: wavelength.web.design@gmail.com.
What I collect
- When you contact me: what you send me, such as your name, email address, phone number and details about your business.
- When I reach out to a business: I find local businesses through public sources, such as their own website, directories and map listings. I keep the business name, town, business email address and phone number, and public facts about the business and its website, so I can send one relevant offer and up to three follow-ups.
- When you become a client: what I need to do the work and bill you, such as contact details, facts about your business, invoices and payment records, and access to any accounts you choose to share with me. I work through invitations to your accounts and never ask for your passwords.
- When you visit this site: my web host keeps standard server logs, such as IP addresses, the pages requested and the time, to run and secure the site. The site has no analytics, advertising trackers or tracking cookies, and loads nothing from other companies’ servers.
- When you use the contact form: the name, email address and message you type. Netlify, which hosts this site, receives the form and keeps it in my Netlify account, where I read it. I use it only to reply to you, and you can email me instead if you prefer.
How I use it
- To reply to you.
- To offer my services to businesses that might benefit from them.
- To plan, do and bill work you hire me for.
- To keep records the law requires, such as invoices.
- To protect my systems and accounts.
I don’t sell or rent personal information, and I don’t use it for advertising.
Who helps me
I use a few service providers to run the business, and share only what each one needs:
- Google, for email and documents.
- Netlify, which hosts this website and passes on messages sent through its contact form.
- A domain registrar and web host, used to register your domain and publish your website if you subscribe to Maintenance.
- Anthropic, whose AI tools help me draft emails, reports and web pages. I review everything before it’s sent or published.
- My bank, which handles Interac e-Transfer payments.
Google, Netlify and Anthropic may store or process information in the United States or other countries, where the law may allow local authorities to access it.
Stopping my emails
If I’ve contacted your business and you don’t want to hear from me again, reply “unsubscribe” or email me with the subject “Unsubscribe”. It takes effect the moment I read your request: your address goes on my do-not-contact list right away, and I stop preparing and sending any emails to your business. I keep that list so I never email you again.
How long I keep it
- Enquiries that don’t become work: deleted within 12 months.
- Details of businesses I’ve contacted: up to 2 years after my last contact. Do-not-contact entries are kept permanently.
- Client records and invoices: six years after the tax year they relate to, as Canadian tax law requires.
How I protect it
I use safeguards suited to how sensitive the information is, and limit access to what each job needs. You can remove my access to your accounts at any time. If a breach of my safeguards creates a real risk of significant harm to you, I’ll tell you and report it to the Privacy Commissioner of Canada, as the law requires.
Your choices
You can ask to see the personal information I hold about you, ask me to correct it, or ask me to delete it, by emailing wavelength.web.design@gmail.com. I’ll reply within 30 days. If you’re not satisfied with how I handle a privacy concern, you can contact the Office of the Privacy Commissioner of Canada.
Changes
If this policy changes, I’ll update the date at the top.
